Below you'll find everything you need to plan your trip—from registration and travel details to arrival logistics—so you can arrive ready to connect, collaborate, and make the most of our time together.

TRAVEL & AIRFARE
For Team Members Traveling by Air
ARRIVAL
Please book your flights into Colorado Springs Airport (COS) for arrival on Sunday, January 10, 2027. All flights should be scheduled to arrive at COS no later than 1:30 PM. When possible, we encourage an earlier arrival to provide additional flexibility in the event of winter weather or travel delays.
Colorado Springs Airport is approximately 11.5 miles, or a 20-minute drive, from The Broadmoor. RMC will provide additional information regarding airport transportation as we get closer to the program.
DEPARTURE
For your departure on Wednesday, January 13, you are welcome to book your flight out of Colorado Springs Airport (COS) as early as you’d like, based on the itinerary that works best for you.
DEADLINE & GUIDELINES
Please book airfare and complete your registration on this site, no later than Friday, September 25, 2026.
When booking, please be mindful of the following:

Book the most economical reasonable fare available. Compare flight options and select the lowest practical fare that allows you to arrive at COS by 1:30 PM. Consider the total trip cost, including seat assignments and baggage fees, rather than airfare alone.

Economy/Main Cabin should be selected unless you have received prior approval for another fare class. Economy Main Cabin is preferred over Basic Economy so you're able to select your seat. Please note that Economy Plus (or comparable "extra legroom" tiers) is considered an upgrade and is not covered.

Choose reasonable itineraries. The cheapest option is not necessarily the best option if it includes excessive travel time, multiple connections, an overnight stay, or a high-risk connection.

Prioritize earlier flights when possible. Morning departures tend to be less susceptible to cascading delays than flights later in the day, an especially important consideration when traveling to Colorado in January.

Allow comfortable connection times. Please avoid extremely tight connections, particularly through airports that may experience winter weather.

Review change and cancellation terms before purchasing. Lower fares often carry more restrictions, so make sure you understand your ticket's terms before you buy. A refundable fare is not required—just book with your travel plans in mind.

Register your itinerary immediately after booking.
For Our Colorado-Based Teams
ARRIVAL
All Colorado-based employees are welcome to drive themselves to Colorado Springs. If you'd prefer to carpool with your local team from Denver, Vail, or Aspen, that option is available—just coordinate directly with your GM to arrange it.
Please plan to arrive on Sunday, January 10, 2027. Drivers should plan to arrive at The Broadmoor no later than 1:30 PM. When possible, we encourage leaving earlier to allow for extra flexibility in case of winter weather or travel delays.
DEPARTURE
For your departure on Wednesday, January 13, you are welcome to depart The Broadmoor as early as you’d like, based on the itinerary that works best for you.

Reconciling in Payhawk
For any RMC University expenses (including airfare), please reconcile the expense in Payhawk using the following coding:

KNOW WHAT'S COVERED
A few highlights travelers ask about most:

On travel days, meals are covered up to $30 per day for breakfast and $40 per day for lunch.

Your first checked bag is covered; overweight/oversized fees are not.

Local Colorado employees who choose to drive instead of fly may expense mileage.

Parking at the airport and hotel is covered.

Your room and tax at The Broadmoor are covered by RMC. At check-in, you'll need to provide a personal credit card for any incidentals.

RMC will host breakfast, lunch, and dinner throughout the program. Any food or beverage outside of these hosted meals is at your own expense.

REMINDERS
WINTER TRAVEL
January weather in Colorado can be unpredictable. Build some flexibility into your itinerary and keep an eye on weather and airline notifications as your travel date approaches.
ALTITUDE
The Broadmoor sits at just over 6,200 feet above sea level. The resort recommends increased water intake and notes that guests may experience shortness of breath with exertion; sun protection is also recommended, even during winter.
HOTEL CHECK-IN
Official check-in at The Broadmoor begins after 4:00 PM. However, The Broadmoor will try to accommodate each guest based on availability. If you arrive earlier, the Front Desk can store your luggage so you can enjoy the property until your room is available.
PRE / POST EXTENDING
For those interested in extending their stay at The Broadmoor, a limited number of pre- and post-nights may be available at the group rate of $239++ per night. Please receive approval from your leader prior to booking airfare, as all extended stays are subject to leader approval and hotel availability. Once approved, please connect with Melissa Noddings to request your additional room night(s).
Please note that all pre- and post-night accommodations will be at your own expense. A personal credit card will be required at check-in to cover the room, tax, and any incidentals associated with your extended stay.
